How to integrate AI employees into your team
AI employees work best when they join a team the way a new hire does: with a written role, a clear process, limited access at first and a manager who approves the risky calls. This guide walks through that rollout, step by step.
1. Start from the role, not the tool
Write down the job the way you would for a person: what arrives, what decisions get made, what gets sent and to whom. TrinityCorp turns that job description into a list of tasks, each with its own schedule and its own written procedure (SOP), so the employee follows your process instead of inventing one.
2. Turn manual SOPs into tasks
Each recurring duty becomes a task: when it runs, which systems it touches and what a finished result looks like. If a procedure is too thin, it gets rewritten before the employee goes live, and a test run checks every task before setup can finish.
3. Connect only what the job needs
The employee only touches the systems you connect — for example Gmail or Microsoft 365 for Rosie, or your CRM for Scout. Duties that depend on a tool you have not connected stay off.
4. Keep a human in the loop
For each action you choose whether it runs on its own or waits for approval. Sending email, publishing and other high-risk actions default to approval, and approvals can be answered from the portal or from channels like Slack, Telegram, email or WhatsApp. Staff are not replaced by a black box; they review and approve the work that matters.
5. See everything it does
Every action is written to an audit log, and the client portal shows what ran, when, and what it cost. Anyone on the client's team with access can stop an employee instantly with the kill switch.
6. Cap the spend
Each employee has a daily credit limit. When it is reached, work pauses until the next day or until an owner raises the limit, so a busy day never turns into a surprise bill.
7. Widen autonomy as trust grows
Start with drafts and approvals. Once a pattern is reliably right, switch that single action to run on its own, and keep the rest gated. You can change this at any time.
Which AI employee to start with
- Rosie — AI executive assistant for inbox, calendar and follow-ups.
- Scout — AI sales development rep that researches, scores and files leads in your CRM.
- Maya — AI creative marketer that produces on-brand ad placements and never publishes on her own.
